Find your way around the Calendar

Learn the four views, then set the week up the way you plan it.

This course covers the Calendar in the desktop workspace on a computer. Open it from the + New editor button at the top of the dock, or press Ctrl+K and choose Calendar. The first four buttons switch between Month, Week, Day and Agenda, and Agenda lists the next 30 days. Today jumps back to the current date, and the arrows step one day, week or month at a time. The badge beside the heading shows the time zone events are drawn in, such as (Local: AEDT), and a red line marks the current time. When the dock is narrower than the toolbar, the buttons that don't fit move into More, the three-dot button at the end of the row. The view buttons, Today, the arrows and + Event are among the last to move. Calendar settings, the gear or its entry in More, holds Default view, Week starts on and Time format. Once you click in the Calendar, T goes to today and D, W and M switch views.

Practice. Open the Calendar and open More to see which controls moved there. Set Week starts on to Monday and Time format to 12-hour, then step forward two weeks and switch to Agenda.

Open More, choose Calendar settings, pick Monday under Week starts on and save. Then press Week and the Next arrow once.

Create events

Add events straight onto the grid, or with one sentence in chat.

+ Event opens New event set to 9:00 to 10:00 on the day you are looking at, and N does the same once you have clicked in the Calendar. In Week or Day view, click an hour to start an event there, or drag down a day column to set the start and end in one go. Clicking a day in Month view starts one at 9:00. Fill in Title, Date, Start and End, then add a Location, a Description, a Category such as fit-out, a Priority and a Color. Create saves the event to your calendar straight away. Once the view has events, a Categories: row appears under the toolbar, with events saved without a category filed under General. Lesson 6 puts it to work. You can also type Add to my calendar: in chat followed by the event, and Oppermind saves it and opens the Calendar on its date. Repeats, Every (N units), On weekdays and Until make an event repeat, which lesson 5 covers.

Practice. Create one event with + Event, one by clicking an hour in Week view and one by dragging down a column. Give each a Category, then add a fourth from chat.

Reschedule, remind and mark done

Drag events to new times, then use an event's details to set a reminder or tick it off.

Drag an event to another time or day in Week or Day view. It snaps to 15-minute steps and keeps its length, and dragging its bottom edge changes when it ends. In Month view, drag the chip onto another date. When two events overlap, both show ⚠. Click an event for its details, with Mark done, Edit, Move and Delete. Mark done puts ✓ before the title and strikes it through in every view, and Mark not done takes that off. Undo, or Ctrl+Z after clicking in the Calendar, reverses a move, an edit, a delete or a Mark done. Reminder in the event form runs from 5 min before to 1 day before. It pops up as a message in the workspace, and as a desktop notification if you allow them, whenever Oppermind is open on your computer, even after a reload. Nothing reaches your phone or your email, nothing fires while Oppermind is closed, and an event marked done stays quiet.

Practice. Drag an event to a new time, stretch another by its bottom edge, and overlap two events to see the ⚠. Give an event later today a 15 min before reminder, then mark a finished event done.

Drag Sparky Co quote call on Tuesday from 11:00 to 12:00. When the site walk is over, click Site walk with Crew A and press Mark done.

Change events from chat

Ask chat in plain words to move or tick off an event, then read the reply to see what changed.

Chat can change events as well as add them, in everyday words. "Move the site walk to 4pm", "Push the furniture supplier to Friday", "Cancel the Sparky Co call on Tuesday" and "Mark the site walk as done" all reach the Calendar. A rename needs the word event or the kind of event, such as meeting or stand-up, as in "Rename the site walk event to Level 3 walk-through". A new time keeps the event's length. The reply says what changed, and an open Calendar reloads on that date. If no event matches, or the change isn't clear, the reply says nothing was changed. When several events match, it lists them with their dates and asks which one you mean. A repeating event is never changed from chat, and the reply points you to the Calendar's own choices (lesson 5). "Remind me to call Sparky Co Friday 3pm" adds an event with a 15-minute reminder. The Calendar's Undo doesn't reverse a chat change, so read the reply.

Practice. Move one event from chat and mark another done, then ask chat to cancel an event that has a twin on another day and answer with the date.

Set up a repeating event and change one date

Make an event repeat on chosen weekdays, then change or delete one date without touching the rest.

Set Repeats to daily, weekly, monthly or yearly when you create or edit an event. Every (N units) spaces the repeats out, so 2 with weekly means every second week. For a weekly event, the Mo to Su chips under On weekdays pick the days, and Until sets the last date. The repeats show in every Month, Week, Day and Agenda view they fall in. When you edit, move, drag, resize or delete one of them, the Calendar asks which events you mean, with This event only, This and following and Entire series. This event only turns that date into a one-off and leaves the rest alone. This and following starts a new series from that date with your changes. Both work by splitting the series in two, so a later Entire series change reaches only the part you clicked. Undo reverses a split in one step. In select mode, Move to… and Delete act on the whole series.

Practice. Make a weekly event on three weekdays with an Until date. Delete one date with This event only, change the time from another date with This and following, then press Undo twice.

Friday 23 October is the building shutdown. In Week view, click the Ops stand-up that Friday, choose Delete, then This event only.

Filter, search and tidy in bulk

Narrow the view by colour, category or title, then move or delete several events at once.

After All come six swatches, Blue, Green, Pink, Amber, Red and Purple, each hiding or showing events of that colour. When the dock is narrow they sit in More as Colours: Blue events and so on. Any other colour is filtered as Blue. New events start Blue, so to file one under another swatch, type its code into the Color picker, such as #10b981 for Green or #f59e0b for Amber. The Categories: row has a chip for each category, and events saved without one sit under General. Click a chip to hide that category, click again to bring it back, and All shows everything. Both filters are remembered in this browser. Search events… finds up to 20 events whose titles match and shows the ones that fall in the current view. To change several events at once, press Select and click each event to tick it. A bar at the bottom counts them, with Move to…, Delete and Done. Undo reverses up to 30 recent changes, but not new events.

Practice. Hide every category except Suppliers, search for a supplier by name, then select two supplier events and move them to the same day.

In Agenda view, press Select, tick Sparky Co quote call and Furniture supplier, choose Move to… and pick 13 October.

Bring in project deadlines and .ics files

Send a project's deadlines to the Calendar, then import or export events as an .ics file.

In the Project editor's Calendar view, Send deadlines to Calendar adds every upcoming unfinished task, and Add deadline to Calendar on a task's right-click menu adds one. Each becomes an all-day event on the task's last working day, named after the task and project, with ◆ before milestones and a 1 hour before reminder. Milestones are red and other tasks indigo, which filters as Blue. Sending again adds fresh copies. Import .ics file reads .ics, .ical and .ifb files. Titles, descriptions, locations, times and repeats come in, and so do reminders set in minutes, but time zones are ignored, all-day events arrive as timed events at midnight, and a repeat loses its end date. Export visible events as .ics saves oppermind-calendar.ics with the events loaded for the current view. A repeating event goes out once with its days and Until date, and reminders are included. All-day events leave as timed events, and categories and colours are left out. Check the file in the other calendar app before relying on it.

Practice. Send a project's deadlines across and find them in Month view. Export that month as .ics, then import the file into a spare calendar in another app and compare what arrived.

In the Office fit-out, Level 3 project, open the Calendar view and press Send deadlines to Calendar. Then open the Calendar and press Month.
