AI for builders and tradies: quotes, programs and paperwork
Quote the next job from your own rate card, lay out the program around RDOs and public holidays, and sign the variation before you leave site.
Updated 30 Sept 2026
In short
An agent built from the Proposal and quote drafting template drafts a quote from the rate card you attach, and its goal tells it to flag anything the card does not cover. The Project editor builds a program with working days, a critical path from your dates and a baseline, then sends its deadlines to the Calendar. You check every price and date before anything goes to a client.
Two quotes to finish, a program that slipped a week, a variation that needs a signature before Monday. Oppermind handles each of those in its own editor, and the AI in chat works on whichever file is open.
Quoting sits in Agents mode. You import a quote agent from the Marketplace, give it your scope notes and rate card, and it drafts an itemised quote into Doc Manager. If you would rather price by hand, the Sheet editor has a Quote / estimate template to start from.

What builders and tradies use Oppermind for today
01
Draft a quote from your own rate card
In Agents mode, open Marketplace > Agent templates > "Proposal and quote drafting" and choose "Import agent". Rename it, for example Quinn · Quotes, and write a goal that says to use only the attached rate card for prices and to flag any item the card does not cover. It asks for your scope notes and your approved rate card, and the draft lands in Doc Manager.
To price the job yourself, open the Sheet editor and pick "Library" > Templates > "Quote / estimate".
In the Project editor, ask chat for a program for your job, or start from "Library" > "Home renovation" and adapt it. "Change working time" sets the working week, and public holidays and RDOs go in as dates. The chart redraws straight away.
Join tasks with "Link tasks" (F2), then More > "Respect links" pushes each task after the one it depends on. With a start date on every task, "Critical path" shows the chain that sets the finish, and the line under the chart gives its length in days. Share the program with your site supervisor as "Can edit" and you both work on the same schedule live. Sharing depends on your plan.
Add each crew or subcontractor in "Resource Sheet" with a "Resource Name" and "Std. Rate". Assign them with "Assign to" and check their lanes in "Team Planner". "Reports" > "Utilization" lists each day someone is booked past a working day, and "Level resources" moves the later task so no crew is in two places at once. "Reports" > "Cost" totals labour against the program.
Once the client accepts the program, use More > "Set baseline". Update each task's percent complete as the job moves, or run More > "Mark on track" to set every unfinished task to the share of its working days already gone. "Tracking Gantt" draws today's bars against the baseline, and "Reports" > "Progress" gives you a summary to bring to the site meeting.
In the Project editor's Calendar view, "Send deadlines to Calendar" copies upcoming deadlines into the Oppermind Calendar. Add site walks and toolbox talks with "+ Event" or from chat, and set a Reminder on each. Chat changes them in plain words, such as "Move the site walk to 4pm", and "Mark done" in an event's details strikes it through once it has happened.
Reminders pop up only while Oppermind is open on your computer. They are not sent to your phone and nothing fires while Oppermind is closed, so keep a phone alarm for anything you cannot miss.
Choose "New routine", name it Tender sweep, and tell it where to look for the week's notices, how to score each against your capability statement and to list the closing dates. Set "Frequency" to "Every week", Monday, 06:30, and use "Run now" to get the first report today. Each run is saved as its own session, so you can open Monday's list and ask about a particular tender.
In the PDF editor, use "Import PDF from disk", then "Merge PDFs" to add drawings and schedules. "Add page numbers" with "Page N of M", "Add stamp" for Approved or For Review, and "Fill form fields" if the form has them. "Extract tables" pulls rates out of a schedule into a CSV. Scanned pages have no text for it to read, and "OCR · extract text" saves their text as a .txt file instead.
"Sign" opens "Add signature", where you draw, type or upload a signature. It lands selected in the part of the page you can see, ready to drag onto the line. On the phone, "Signature" does the same before you tap "Export". Ctrl+Z steps back through page edits, and nothing reaches your account until you press Save.
A drafted quote becomes your offer to your customer, so check every quantity and price before it goes out. Oppermind does not measure drawings, check work against the building code or produce plans for approval. Licences, home building contracts and payment claims follow rules that differ by state, and nothing on this page is legal advice about them.
A SWMS has to fit the actual site and the actual work. Oppermind can draft one from the hazards and controls you describe, but it has not seen the site, and the business doing the work stays responsible for it. For how uploaded files and connected accounts are handled, read the Privacy Policy, section 5.1a in particular.
Questions
Frequently asked questions
Can Oppermind do a quantity take-off from my drawings?
No. It reads the text in PDFs you attach, and OCR reads scanned pages, but nothing in Oppermind measures a drawing. Quantities come from you or your estimator.
Does the Oppermind Calendar sync with Google or Outlook?
Not directly. Deadlines from a program land in the Oppermind Calendar, and "Export visible events as .ics" saves a file that your other calendar can import. Check the events once they arrive, because all-day items come across as timed ones.
Can I sign a PDF on my phone at the site?
Yes. In the phone PDF editor, "Signature" lets you draw, type or upload your signature, drag it where it belongs and export the signed copy.
Can it produce plans for council approval?
No. The CAD editor can block out walls, doors, floors and a roof for a discussion with the client, and its sheets are marked review required. Plans for approval come from a registered practitioner.
