Open a PDF and find your way around

Bring a PDF into the PDF editor, save it to your account and bookmark the sections you will come back to.

This course uses the PDF editor in the desktop workspace on a computer. The phone's PDF Editor has fewer of these tools and saves differently. Drop a PDF onto the pane or choose Import PDF from disk… in the More menu. You can also attach one to a chat message and write open this in the PDF editor, leaving words like highlight or extract out of that message. Choosing PDF from New editor (+) or the command palette (Ctrl+K) opens an empty pane with an Open existing PDF button. Save (Ctrl+S) stores the file in your account, up to 25 MB, and saved PDFs open again from Open existing… or Doc Manager. Search (Ctrl+F) jumps between the pages that contain a word, without marking the words. To mark a section, open Bookmarks panel in the More menu, click Bookmark page with the page number and name it. Bookmarks are written into the PDF in page order, so Save keeps them and Download PDF includes them.

Practice. Import a PDF you work with and save it. Search it for a word you know is there and step through the matches. Bookmark a later section, then an earlier one, and check the Bookmarks panel lists them in page order. Click each to jump back to it, and remove one with ×.

Attach Tidemark supply agreement.pdf to a chat message and type: Open this in the PDF editor. Then go to page 9, open Bookmarks panel, click Bookmark page 9 and name it Schedule 1 rates.

Summarise a contract and pull out its text

Get a short summary of a long PDF, then save its text and tables as files you can reuse.

Summarise sits at the right-hand end of the toolbar, or in the More menu as AI summarise when the pane is narrow, and Summarise (AI) on the right-click menu does the same. It sends the PDF's text to the assistant and opens a panel headed Summary of and the file's name, where Copy puts the summary on your clipboard. It is written from the text alone, so check dates and amounts against the page before you quote them. Summarise refuses a PDF with redactions, and one with no text on its pages, such as a scan. OCR · extract text reads the words off scanned pages on Oppermind's server, in English, for files up to 22 MB, and downloads them as a .txt file. Long files are read up to 200 pages. The PDF itself doesn't change, so the scan still has no text to search, select or summarise. Extract tables looks for rows and columns in the text of each page and downloads a CSV file.

Practice. Summarise a PDF you know well and check every date and amount in the panel against the pages. Then run Extract tables on a PDF with a price list and open the CSV in a spreadsheet.

Click Summarise, or AI summarise in the More menu, and press Copy when the panel opens. Then choose Extract tables in the Tools group of the More menu and check the CSV against Schedule 1 on page 9.

Mark up a contract by hand

Highlight, strike through and note clauses, then select any mark to change or delete it.

Pick Highlight, Underline or Strikethrough on the toolbar and drag across the words. A drag across two lines marks both edge to edge, so one line at a time looks neater. Annotation colour, in the More menu on a narrow pane, sets the colour of the next mark. Comment draws a box around the words you drag across. Sticky note asks for the note's text and drops a small yellow square where you click. Draw lets you circle a figure by hand. To change a mark, press Esc or click Select / pan, then click the mark. A small panel names it, shows the text of a note or comment with Edit text, and has Delete for every kind of mark. Notes, comments and drawings can be dragged to a new spot. Ctrl+Z undoes the last change. Marks save to your account on their own a moment after you make them. Download PDF writes them into a copy of the file, with each note's text printed beside its square.

Practice. Highlight the clauses you want to discuss, switch the colour to red and strike through a line you want removed, then add a sticky note with a question. Click the note to read it back, change a word with Edit text, and delete one highlight with the Delete key.

On page 3, highlight clause 7.1. Pick red in Annotation colour and strike through clause 9.2, then click Sticky note and click beside it. Type: Ask Rhys why the late-delivery credit dropped from 10% to 5%.

Ask chat to mark up and rearrange the PDF

Describe the marks, bookmarks and page changes you want, and read what the reply says could not be done.

While the PDF pane is open, the composer carries an editing chip, and the assistant sees the PDF's page text, bookmarks and marks. Ask it to highlight, underline or strike through named words, add a comment or sticky note with its text, stamp a word such as APPROVED, add or remove a bookmark, or delete, move or rotate a named page. It can also turn to a page or set the zoom from 25% to 400%. Marks land on the exact words on the page you name. The assistant may decline parts of a request, and its reply names what it left out after the words I could not, such as page 99 is not in this PDF. If the editor itself can't apply a change, the reply ends with This change could not be applied in the editor and the reason. It can't redact, fill form fields, sign, draw, insert or merge pages, or retype the PDF's own text. Ctrl+Z takes back a chat change like any other.

Practice. With a PDF open, ask chat to highlight a sentence you copy from one page, bookmark another page and zoom to 150%. Then ask it to redact a word and read how it answers. Press Ctrl+Z to take back the highlight.

Highlight clause 7.1 on page 3, add a comment on "Late deliveries are credited at 5%" saying Check against the 10% in the draft, and bookmark page 9 as Schedule 1 rates.

Fill in a form and add a signature

Type into the PDF's own form fields, then add a drawn, typed or uploaded signature and drag it into place.

Fill form fields on the toolbar, or Fill form on the right-click menu, lists the fields built into the PDF. On a narrow pane, Fill form fields and Sign move into the More menu. Fill them in and press Fill, and the values are written into the file. If the PDF has no form of its own, it tells you. Filling changes the file, so Ctrl+Z can undo it, and it needs a Save to reach the copy in your account. Sign, on the toolbar or the right-click menu, opens Add signature, where you draw with the mouse, type your name in a script font, or upload a PNG or JPG. Apply drops it in the middle of the part of the page you can see, already selected, so drag it onto the signature line or press Delete to remove it. A drawn or typed signature is only a mark on the page. The last lesson covers a certificate signature a PDF reader can check.

Practice. Open a PDF that has a form, fill every field, press Fill and save. Add a typed signature, drag it onto the signature line, then download the PDF and check both are in the file.

Go to page 11, Customer site details. Right-click the page and choose Fill form. Enter Tom Walsh as the site contact, Dock 2 as the delivery dock and 0491 570 156 as the after-hours phone, and press Fill. Then choose Sign, type Mei Lin on the Type tab, press Apply and drag the signature into place.

Redact before you share

Black out what the other side mustn't see, and send the image-only copy the export builds.

Choose Redact in the Tools group of the More menu, then drag across the words to hide, and each selection gets a black box. It needs text you can select, so a scanned page can't be redacted this way. The boxes sit over text that is still in the file, in the editor and in the copy saved to your account. Download PDF, Print and the other exports build a new copy in which every page becomes an image, with black where each box was. Text selection and fillable fields are lost in that copy, and a file over 300 pages can't be exported this way. While a PDF has redactions, Summarise, OCR, Convert to Doc and the extract tools are refused, chat gets no page text, and page changes wait until you open the exported copy. Share then warns The covered text is still in this file, and Share a redacted copy instead saves an image-only copy named with (redacted) and opens sharing for it.

Practice. Redact two lines in a test PDF, then press Esc, click one box and press Delete to take it off again. Download the PDF and try to select the hidden words in the downloaded copy with your usual PDF reader.

Save the agreement and use Share to give Tom Walsh Can view, so he can check the site details. Then, before sending it to the insurer, go to page 10, Schedule 2. Choose Redact, drag across Tidemark's BSB, the account number and Rhys's mobile number, and choose Download PDF.

Rearrange pages, merge files and stamp

Insert, delete, rotate and reorder pages, merge in another PDF and stamp the result, then save it.

The Layout group in the More menu works on the page you're on. Insert page adds a Blank page, a Duplicate current page or Pages from another PDF… after it. Delete page removes it, though a file can't lose its last page. Rotate page turns it 90 degrees clockwise, marks included. Move page up and Move page down shift it one place, as does dragging its thumbnail. Merge PDFs adds every page of another file to the end. For a stamp, choose Add stamp… in Tools and pick one of the eight, such as Approved, Reviewed or Void, then click the page, and it's written into the page. Compress asks Oppermind's server for a smaller copy and swaps it in when it can. Ctrl+Z undoes each of these, up to 50 steps. None of them saves on its own, and closing the pane won't warn you. The line under the pane says File not saved to your account until you press Save, then File saved.

Practice. Merge a second PDF onto the end of a file, move one of its pages up, rotate a page that's on its side and stamp the first page. Undo the rotation with Ctrl+Z, then save and watch the line under the pane change.

Choose Merge PDFs and pick Tidemark insurance certificate.pdf. Go to page 1, choose Add stamp…, pick Reviewed and click near the top-right corner. Then press Save.

Protect and certificate-sign the final copy

Send a password-protected copy, or sign an exported copy with your own .p12 or .pfx certificate as the last step.

Password protect, in Tools, asks for a password twice and downloads a copy ending in -protected.pdf, encrypted with AES-256. The PDF in the editor stays as it was. The password can be up to 128 characters and can't start with a hyphen. It's made on Oppermind's server, for PDFs up to 22 MB. Send the password separately from the file. A certificate signature ties the file to a digital certificate issued to you or your organisation, kept in a .p12 or .pfx file. Choose Certificate signature in the Insert group of the More menu, pick the file, enter its password, add a signer name and a reason, and press Sign and download. It signs a copy with your marks, stamps and redactions built in, and adds -signed to the name. Signing runs in your browser and your key stays on this device. Any edit to the signed copy breaks the signature, so sign last. Whether a reader shows it as trusted depends on your certificate and that reader.

Practice. Make a password-protected copy and check another PDF reader asks for the password. If your organisation issues you a certificate, sign a test PDF and look for the signer name and reason in the reader's signature details.

With the redacted, stamped agreement open, choose Certificate signature. Pick wattle-lane-2026.p12, enter its password, type Mei Lin as the signer and Approved for Wattle Lane Foods as the reason, then press Sign and download.
